Privacy & data protection.

This policy explains how MMA Factory (777) Ltd (company no. 17420159) ("we", "us"), collects and uses personal information. We are the data controller for the information you give us. We run martial arts classes at Lordswood Boys' School sports hall, Hagley Road, Harborne, Birmingham B17 8BJ.

What we collect

• Registration details — name, date of birth, gender, address, phone and email, and for under-16s the parent or guardian's details.
• Health information — any medical conditions, allergies, injuries, additional needs or medication you tell us about.
• Emergency contact — name, phone number(s) and relationship.
• Training and membership — classes, experience, goals, membership plan, consents and your signature.
• Payments — amounts, dates and status. Card payments are taken by Stripe; we never see or store card numbers.

Why we use it, and our lawful basis

• To register you and run your membership, classes and payments — performance of a contract.
• To keep you safe and act in an emergency — legitimate interests and vital interests.
• Health information is special category data. We process it with your explicit consent, given on the registration form, and only to keep you safe while training.
• To send payment reminders, receipts and important class updates — contract and legitimate interests.
• Photos and videos for promotion — only with your consent, which you can withdraw at any time.

Children

For members under 16, a parent or guardian completes registration and gives consent on the child's behalf. Children's information is only ever used to run their training safely.

Who can see it

Only MMA Factory coaches and authorised staff, each with their own login. Health information is shared only with coaches who need it for your safety. We use trusted processors who handle data only on our instructions: Supabase (secure database), Netlify (website hosting), Stripe (card payments) and Resend (email delivery). Some of these providers may process data outside the UK; where they do, it is protected by the UK's approved safeguards (such as the International Data Transfer Agreement or adequacy regulations). We never sell your data.

How we keep it safe

Data is stored in an encrypted database with access limited by individual staff logins and roles. Connections to our website are encrypted (HTTPS).

How long we keep it

While you're a member and for up to 2 years after you leave, and payment records for 6 years as required for tax and accounting. After that it is securely deleted.

Your rights

Under UK data protection law you can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, move it to another provider, and withdraw consent at any time. Email mmafactorybham@gmail.com and we'll respond within one month.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
